Does pharmacy POS software need government approval?

A retail-only POS system generally does not require Australian Digital Health Agency conformance. Approval and conformance requirements become more significant when the system handles electronic prescriptions, Healthcare Identifiers, My Health Record, PBS claiming, monitored medicines or clinical decision-making.

Can our pharmacy use a normal retail CRM?

Yes, but the system and its use must account for the sensitive nature of pharmacy data. Prescription or health-related information should not be placed into an ordinary marketing platform without a lawful purpose, appropriate controls and any necessary consent.

Can we use prescription history for marketing?

Generally, this is high risk. Health information cannot simply be repurposed for direct marketing. Prescription medicines are also subject to strict public advertising restrictions.

Must pharmacy data be stored in Australia?

Not in every situation. However, overseas disclosure or access creates additional privacy obligations and risks. The pharmacy should understand where information is stored and who can access it.

Can staff share a pharmacy login?

Shared accounts should be avoided. Individual accounts are important for security, accountability, dispensing records, My Health Record access and incident investigation.

Is PCI DSS enough for a pharmacy?

No. PCI DSS addresses payment-card security. It does not replace privacy, medicines, dispensing, My Health Record, premises or clinical-software requirements.

How often should access permissions be reviewed?

Access should be reviewed whenever a staff member changes roles or leaves. A documented full access review should also be performed regularly, preferably at least quarterly.

How often should backups be tested?

Backups should be monitored continuously and restoration should be tested regularly. Quarterly restoration testing is a sensible minimum for critical pharmacy systems.

Who is responsible if a software supplier has a breach?

The supplier may have contractual and legal responsibilities, but the pharmacy can still remain accountable for how it selected, configured and supervised the provider.

Are the rules the same in every state?

No. Privacy, electronic prescribing and digital-health requirements have significant national components, but medicines, Schedule 8, prescription monitoring, premises and record-retention requirements vary between jurisdictions.
